A well-written board meeting agenda is the basis for each boardroom meeting. It will help you determine how involved your board members will be during the meeting, list everything you’re planning to cover, and provide you with a head start in preparing notes that document your decision.

Ideally, your board’s meeting agenda will contain a specific section for reporting. Department chairs and committee chairpersons can update the board on important information. Based on the requirements of your organization the reports could come from the executive director, finance director, nominating committee, and any other important committees or departments.

The next thing you should do is “new business”. This is the place where you and your colleagues discuss ideas that have been brought to the table since your last meeting and the best way to move forward. This is an excellent opportunity to discuss and debate and discussion, so be sure to leave plenty of time for it. Often, this is the time when your board will decide to alter or table, or even give an agenda item for another committee to take care of.

In the new business section it is also commonplace to include a space for announcements and congratulations. This is an opportunity to show your board some recognition and show that you are concerned about the contributions they make.
